ACCEPTANCE LETTER
Please check your email regularly in June 2025 as you receive information about the acceptance letter via email by 30 June 2025.
NEPTUN
Neptun is BME's academic platform. Click on the UK flag before logging in. It is important that you check it regularly. You must register for the courses and you will get regular messages through this platform. The access details will be sent to you in the same letter as the acceptance letter information.
Neptun Guide
Orientation
The ESN mentors of BME guide you during the Orientation Week / 1 – 4 September 2025.
The Erasmus Student Network is one of the biggest student associations in Europe.
You will get more information on the orientation in August 2025.
IT Issues
If you experience any issues with university platforms, such as Microsoft 365 email, the eduID login process, or Wi-Fi, please check the availability of the relevant department.
Learning Agreement (Applicable to Students from the EU)
First make sure that it is signed by your home university and you.
Make sure that all the subjects have a proper code.
Note that all subject codes start with BME.
There are two ways to have your LA signed by BME.
1. You can submit it in OLA if your uni is part of the Erasmus Without Papers program.
You will get the digital signature via OLA.
2. You can submit it in a “027 Request for a certificate” form via Neptun.
Type of certificate: “Erasmus+ Learning Agreement”.
The signed LA will be sent to you via Neptun.
You can contact the faculty's Erasmus coordinator if you have any questions or doubts about the subjects.
Once the course registration period is over, you can add and drop courses using a “018 Request to register for subjects / to drop subjects” Neptun request.
If you submit the LA, and then there is a change in your Neptun courses, you must fill out Table A2 of the LA and go through the whole signing process again.
Make sure that by the end of the semester the subjects on your Learning Agreement matches the subjects in Neptun 100%.
You can check the Fall 2025 course offer here.

COURSE REGISTRATION
You can (and must) register online from anywhere.
We recommend using a laptop or PC instead of your mobile phone.
We use the 0-24 time format in Hungary. This is important for deadlines.

Final course registration and drop-off period: 1 September, 18:00 (Hungarian time) - 4 September, 23:59 (Hungarian time)
There is a short break between the two periods during which you are not be able to enrol/drop subjects. Do not worry, just wait patiently for the start of the second period.

Add and Drop Courses During the Semester
Once the course registration period is over, you can add and drop courses using a “018 Request to register for subjects / to drop subjects” Neptun request.
Submitting the request does not guarantee that the faculty will accept it, especially after the first few weeks of the semester.
The faculty has the right to charge the late add or drop of a subject. The fee is 5.500 HUF per course, not per subject. One subject can have one, two or sometimes three courses.
ARRIVAL CERTIFICATE
There are two ways to get this document.
a) Submit a “027 Request for a certificate” form via Neptun.
Type of certificate: “Certificate of Arrival/Attendance/Stay”
You can attach the form of your home university or we will give you our form if there is no attachment.
You will get the certificate via Neptun.
b) Visit us in person in the office hours and we sign the document you bring or give you our form.
The date of your arrival is the day of your personal enrolment.
TEMPORARY STUDENT ID
As an exchange student you cannot get an actual student card, but we can give you a student ID certificate that is valid for 60 days. Once it expired, you must ask for a new one.
Submit a “066 Request for student ID certificate” form through Neptun.
The submission opens on 8 September 2025.
You will get a Neptun notification when the document is ready, possibly within a week of submission.
You visit us in the office hours and we give you the paper.
IMPORTANT: You can use a student pass on the public transport only with a valid student ID certificate!
Nothing else is accepted by the public transport company and the fine is very high if you use the services without a valid student ID certificate. Be careful!
THE LAST DAY OF YOUR STAY
The estimated end date of your stay as an exchange student is 30 January 2026, but this may change according to the following.
1. If all your courses have a "mid-term mark" as a requirement, the last day of your stay will be 29 December 2025.
2. If you have at least one course with an "Exam" requirement, the last day of your stay will be the date of the last exam you attended plus 3 working days.
3. Even if you have the last exam between 27-30 January, the last day of your stay will be 30 January 2026.

The subjects in the LA must 100% match the subjects in Neptun.
Once the Learning Agreement is accepted, you can do the followings, but not before.
You can ask for the Transcript and the Confirmation Letter via a 027 Neptun form BUT ONLY IF
all your grades are registered in Neptun
